Counting Names for Indexing Purposes

Guidelines for Counting Names

As of January 1, 2018, documents recorded in our Official Records are indexed under all names contained in the document. This may affect the fee charged for recording a document. In accordance with Chapter 28.24(12)(c), Florida Statutes: For indexing instruments recorded in the Official Records which contain more than four names, a $1 fee per additional name will be assessed.

Examples

Each person name counts as one name.

  • Example: John Q. and Cindy P. Public
    • Count: 2
    • Indexed as:
      • Public John Q.
      • Public Cindy P.

Each referenced alias ("aka" also known as; "nka" now known as) counts as an additional name.

  • Example: Robert M. Citizen also known as Bob Citizen
    • Count: 2
    • Indexed as:
      • Citizen Robert M.
      • Citizen Bob

Each legal entity reference counts as an additional name.

  • Example: John Q. Public representing the estate of Robert E. Republic
    • Count: 2
    • Indexed as:
      • Public John Q.
      • Republic Robert E. estate of

Each fictitious business name counts as an additional name.

  • Example: John Q. Public doing business as Allied Alliance
    • Count: 2
    • Indexed as:
      • Public John Q.
      • Allied Alliance

Affidavits

Every name appearing on an affidavit shall be counted every time it appears without respect to whether it is unique.
